Privacy Policy — IPSC Match Package Composer
Last updated: 10 August 2026
1. About this Privacy Policy
This Privacy Policy explains how IPSC Australia manages information collected, stored and processed through the IPSC Match Package Composer (the “Match Composer”), including information relating to matches, match packages, stages, stage designs, match results and associated competition information.
IPSC Australia is committed to protecting the privacy of individuals who use the Match Composer and to handling personal information responsibly.
At the same time, the Match Composer exists to support the administration, development, promotion, analysis and management of IPSC competition in Australia. Match information submitted through the Match Composer may therefore have uses that extend well beyond the original purpose for which it was entered.
This policy is intended to make that distinction clear:
- Match and competition information may be used broadly by IPSC Australia for purposes associated with IPSC Australia and its activities.
- Personal information is treated differently and is protected in accordance with applicable privacy requirements.
- IPSC Australia does not intend to make competitors’ private personal information publicly available merely because that information is associated with a match.
This policy should be read together with any terms and conditions applying to the Match Composer and any other applicable IPSC Australia policies.
2. What is the Match Composer?
The IPSC Match Package Composer is a tool used to assist with the creation, administration and management of IPSC matches.
It may be used by authorised users to create and maintain information including:
- match names;
- match dates;
- match locations;
- match levels;
- match disciplines;
- match descriptions;
- stage names;
- stage descriptions;
- stage lengths;
- stage round counts;
- target quantities;
- target types;
- scoring information;
- stage layouts and diagrams;
- stage photographs and images;
- match schedules;
- match package information;
- match approval and sanctioning information;
- match publication information;
- match results;
- competition statistics;
- and other information relating to IPSC competition.
Some information may be supplied by match organisers, match directors, stage designers, range officers, competitors, clubs, IPSC Australia representatives or other authorised users.
3. Match information belongs to the competition environment
The Match Composer is not intended to treat information about an IPSC match as purely private information belonging to the individual who entered it.
A match is a sporting event conducted within the IPSC competition environment. Information about that match may have continuing value after the match itself has been completed.
Accordingly, by submitting or creating information through the Match Composer, an authorised user acknowledges that IPSC Australia may retain, reproduce, analyse, modify, combine, publish, distribute, archive and otherwise use match and competition information for purposes determined by IPSC Australia.
This permission is intentionally broad.
It is not limited to the purpose of obtaining or administering a particular match sanction.
4. How IPSC Australia may use match information
IPSC Australia may use match information for any purpose that IPSC Australia considers appropriate in connection with its activities, operations, objectives, administration, governance or development of IPSC shooting sport.
Examples include, but are not limited to:
Match sanctioning and approval
Match information may be used to:
- assess applications for sanctioning;
- review match structure;
- review stage design;
- verify compliance with IPSC requirements;
- assist match approval processes;
- assess match levels;
- review amendments to sanctioned matches;
- maintain records of sanctioned matches;
- and support future sanctioning decisions.
Match administration
Information may be used to:
- administer competitions;
- maintain match records;
- manage match calendars;
- assist clubs and match officials;
- coordinate competition activities;
- maintain historical records;
- support match reporting;
- and assist with dispute resolution or administrative enquiries.
Competition development
IPSC Australia may analyse match information to understand and improve IPSC competition.
For example, match information may be used to examine:
- stage lengths;
- round counts;
- target distributions;
- match structures;
- stage ratios;
- match levels;
- discipline characteristics;
- competition formats;
- trends over time;
- and other characteristics of IPSC matches.
Such analysis may be used to help IPSC Australia develop recommendations, policies, guidelines, procedures, competition formats or other material.
Statistics and reporting
IPSC Australia may use match information to produce:
- statistics;
- reports;
- historical records;
- competition summaries;
- participation analysis;
- discipline analysis;
- match analysis;
- dashboards;
- publications;
- presentations;
- educational material;
- and other information products.
Research and analysis
Match information may be used for research, analysis, modelling, statistical purposes, development of software and systems, and other analytical activities undertaken by or on behalf of IPSC Australia.
This may include comparing information from different matches, clubs, disciplines, locations or periods.
Historical and archival purposes
IPSC Australia may retain match information as part of the historical record of IPSC competition in Australia.
Information relating to an old match may therefore continue to be retained and used after the match has finished, the match organiser has changed, or the match is no longer active.
Publications and promotion
IPSC Australia may use match information in:
- websites;
- match calendars;
- publications;
- newsletters;
- social media;
- presentations;
- promotional material;
- educational material;
- competition reports;
- historical archives;
- and other communications.
Development of IPSC systems
Match information may also be used to develop, test, improve or evaluate IPSC Australia systems, applications, databases, reporting tools and other technology.
This may include combining information from the Match Composer with information held in other IPSC Australia systems where appropriate.
5. Match information may be reused
Information entered into the Match Composer does not necessarily have to be used only once or only for the specific match for which it was originally supplied.
For example, information about a stage may later be useful for:
- analysing stage design;
- preparing competition statistics;
- comparing matches;
- developing future competition guidance;
- historical research;
- developing software;
- preparing reports;
- or understanding how IPSC competition has developed over time.
IPSC Australia may therefore reuse match information for different purposes without requiring the person who originally entered the information to resubmit it.
6. Match information may be combined with other information
IPSC Australia may combine information from the Match Composer with other information available to IPSC Australia.
This may include information relating to:
- other matches;
- clubs;
- disciplines;
- competition results;
- match sanctioning;
- membership administration;
- competition statistics;
- historical records;
- and other IPSC Australia activities.
Combining information in this way may allow IPSC Australia to identify trends, improve administration, produce statistics, maintain accurate records and better understand IPSC competition.
7. Personal information is different
The broad rights described above apply primarily to match and competition information.
They should not be interpreted as a statement that IPSC Australia intends to make competitors’ private personal information freely available.
Personal information is handled separately.
Personal information may include information such as:
- name;
- contact details;
- email address;
- telephone number;
- membership information;
- account information;
- login information;
- or other information that identifies, or could reasonably identify, an individual.
IPSC Australia will handle personal information in accordance with applicable privacy laws and its obligations under those laws.
The Australian Privacy Principles regulate matters including the collection, use, disclosure, security, access and correction of personal information.
8. Personal information is not published simply because you participate
Participation in an IPSC match does not mean that all personal information held by IPSC Australia will be published.
For example, a match record may contain information identifying a competitor, but this does not mean that unrelated private information such as a private email address, telephone number or account credentials will be made publicly available.
Where competition information needs to identify a competitor, IPSC Australia may publish appropriate competition information such as a competitor’s name, club, division, classification, placing or result.
This is different from publishing private contact or account information.
9. Competition results
IPSC competition naturally involves the recording and reporting of results.
Depending on the circumstances, results may include information such as:
- competitor name;
- club;
- division;
- category;
- classification;
- match score;
- stage scores;
- percentage;
- placing;
- penalties;
- match performance;
- and other competition-related information.
Competition results may be retained as part of IPSC Australia’s official competition records.
Results may also be published or otherwise made available where IPSC Australia considers this appropriate for the administration, reporting, promotion or historical recording of IPSC competition.
10. Stage and match designs
Stage designs, diagrams, photographs, descriptions and other material submitted through the Match Composer may be retained by IPSC Australia.
IPSC Australia may use such material for purposes including:
- match sanctioning;
- stage review;
- training;
- education;
- competition analysis;
- historical archives;
- publications;
- examples of stage design;
- software development;
- statistical analysis;
- and future competition development.
A person submitting material through the Match Composer should therefore understand that the material may become part of the broader IPSC Australia competition information environment.
11. Ownership and use of submitted match material
Where a user submits match-related material to the Match Composer, the user should only submit material that they are entitled to provide.
Submission of material does not necessarily mean that IPSC Australia becomes the owner of copyright or other intellectual property in that material.
However, by submitting match-related material, the user grants IPSC Australia the permission necessary to store, reproduce, process, adapt, analyse, display, publish and otherwise use that material for IPSC Australia purposes.
This includes the purposes described in this Privacy Policy.
Where material is incorporated into IPSC Australia records, publications, databases, systems or historical archives, IPSC Australia may continue to use that material after the original match has concluded.
12. Information provided by match organisers and stage designers
Match organisers and stage designers should assume that information entered into the Match Composer may be reviewed by authorised IPSC Australia personnel.
Information may also be made available to people involved in:
- match sanctioning;
- match administration;
- technical review;
- competition governance;
- match management;
- auditing;
- system administration;
- or other IPSC Australia activities.
This is necessary for the Match Composer to operate as a competition administration system rather than simply as a private document storage system.
13. Who may access information?
Access to information is controlled according to the nature of the information and the role of the person accessing it.
Depending on the circumstances, access may be provided to:
- the person who created or manages a match;
- authorised match officials;
- authorised club officials;
- IPSC Australia representatives;
- match sanctioning personnel;
- system administrators;
- technical support personnel;
- contractors or service providers assisting IPSC Australia;
- and other persons or organisations where access is reasonably required for an IPSC Australia purpose or otherwise permitted or required by law.
Access to private account information and other sensitive operational information is restricted.
14. We do not sell your personal information
IPSC Australia does not intend to sell competitors’ or users’ personal information as a commercial data product.
The Match Composer is a sporting administration and competition management system, not a personal-data brokerage service.
The broad use rights described in this policy concerning match information should not be interpreted as permission for unrelated commercial exploitation of private personal information.
15. No unnecessary exposure of personal information
IPSC Australia aims to minimise unnecessary exposure of personal information.
For example, where a report can achieve its purpose using competition information without including private contact information, there is generally no reason for the private contact information to be included.
Access to personal information is therefore managed according to operational need.
The fact that information exists within an IPSC Australia system does not mean that every user of the system can see all information held by IPSC Australia.
16. Security
IPSC Australia takes reasonable steps to protect personal information from:
- misuse;
- interference;
- loss;
- unauthorised access;
- unauthorised modification;
- and unauthorised disclosure.
Security measures may include technical controls, authentication, access controls, monitoring, system administration procedures and other measures appropriate to the systems involved.
However, no internet-connected system can be guaranteed to be completely secure.
Where a security incident occurs, IPSC Australia will respond in accordance with applicable legal requirements and its incident-management procedures.
17. Information provided to service providers
IPSC Australia may use third-party providers to operate, maintain or support systems used by the Match Composer.
These providers may provide services such as:
- hosting;
- cloud infrastructure;
- database services;
- software development;
- technical support;
- backups;
- security;
- communications;
- document generation;
- analytics;
- or other technology services.
Where a service provider handles personal information on behalf of IPSC Australia, appropriate arrangements may be put in place to protect that information and manage its handling.
18. Overseas service providers
Some technology services used by IPSC Australia may operate outside Australia or may store or process information outside Australia.
Where personal information is disclosed to an overseas recipient, IPSC Australia will take the steps required by applicable privacy law.
The location of technology infrastructure may change over time as systems and service providers change.
19. Cookies, logs and technical information
The Match Composer and associated websites may collect technical information required to operate and secure the service.
This may include information such as:
- IP address;
- browser type;
- device information;
- operating system;
- login information;
- access times;
- pages or functions accessed;
- error information;
- security events;
- and other technical logs.
Technical information may be used for purposes including:
- security;
- troubleshooting;
- system administration;
- performance monitoring;
- fraud prevention;
- auditing;
- and improving the service.
Technical logs may be retained for a period appropriate to their purpose.
20. Accounts and authentication information
Where users are required to create an account, IPSC Australia may retain information necessary to:
- identify the account;
- authenticate the user;
- manage access;
- maintain security;
- provide the requested service;
- record activity;
- and administer the Match Composer.
Passwords and authentication credentials should never be shared with other users.
IPSC Australia personnel will not normally need to know a user’s password.
21. Accuracy of information
Users should take reasonable care to ensure that information they enter into the Match Composer is accurate and appropriate.
IPSC Australia may correct, amend, supplement or otherwise update match information where necessary for administration, accuracy, governance, reporting or other legitimate IPSC Australia purposes.
Where appropriate, users may request correction of personal information held about them.
22. Access to personal information
An individual may request access to personal information that IPSC Australia holds about them, subject to applicable legal requirements and any applicable exceptions.
Requests should be made using the contact details provided below.
IPSC Australia may need to verify the identity of the person making the request before providing access to personal information.
23. Correction of personal information
If an individual believes that personal information held by IPSC Australia is inaccurate, incomplete, out of date or misleading, they may request that it be corrected.
IPSC Australia will consider requests for correction in accordance with applicable privacy requirements.
This does not necessarily mean that historical competition records will be deleted or rewritten.
For example, a historical result may need to remain part of an official competition record even where additional information is subsequently added to explain or correct that record.
24. Retention of information
IPSC Australia may retain match information for as long as it considers appropriate.
Match information may have historical, statistical, administrative or sporting value long after the match itself has finished.
Accordingly, users should not assume that match information will automatically be deleted when a match is completed.
Personal information will be retained in accordance with applicable requirements and IPSC Australia’s operational needs.
Where information is no longer required and there is no continuing reason or legal requirement to retain it, IPSC Australia may delete, destroy or de-identify it.
25. De-identified and statistical information
IPSC Australia may create statistical or analytical information from match data.
Where appropriate, information may be aggregated or de-identified so that individual competitors are not identified.
Examples include:
- average round counts;
- target distributions;
- stage lengths;
- match participation statistics;
- discipline trends;
- match-level statistics;
- and historical competition trends.
IPSC Australia may use and publish such information broadly.
26. Changes to this Privacy Policy
IPSC Australia may update this Privacy Policy from time to time.
Changes may be made to reflect:
- changes to the Match Composer;
- changes to IPSC Australia operations;
- changes to technology;
- changes to legal requirements;
- changes to information handling practices;
- or additional uses of match information.
The current version of this Privacy Policy will be made available through the Match Composer or associated IPSC Australia website.
The “Last updated” date at the beginning of this policy indicates when the policy was most recently revised.
27. Your privacy concerns
IPSC Australia takes privacy concerns seriously.
If you believe that your personal information has been handled incorrectly, or if you have a question about this Privacy Policy, you should contact IPSC Australia in the first instance.
IPSC Australia will investigate privacy complaints in accordance with its applicable procedures and legal obligations.
If you are not satisfied with the response, you may have the right to make a complaint to the Office of the Australian Information Commissioner (OAIC).

29. Important summary
The short version of this policy is:
Match information belongs in the IPSC competition information environment.
Information about matches, stages, match packages, competition structures, results and related sporting activity may be retained and used by IPSC Australia for purposes determined by IPSC Australia, including administration, sanctioning, governance, statistics, research, analysis, education, promotion, historical records, technology development and the future development of IPSC competition.
This use is not limited to the purpose for which the information was originally entered.
At the same time:
Your private personal information is not treated as general-purpose match information.
IPSC Australia does not intend to expose private personal information simply because you participate in an IPSC match. Personal information is handled separately and protected in accordance with applicable privacy requirements.
In practical terms, this means that IPSC Australia should be able to make full use of the information generated by the sport — including match designs, stage information, competition structures, results and statistics — while maintaining appropriate privacy protections for the people who participate in it.
Nothing in this Privacy Policy is intended to remove, restrict or contract out of any privacy right or obligation that cannot lawfully be excluded under Australian law.
